UMANIFEST / AI AUTOMATION

Less copying. More
getting to it.

Put the repeated work in order. Umanifest plans and builds scoped AI and business automations for Tacoma and Pierce County businesses, starting with one task, the tools you use, and the decisions you want to keep in your hands.

Start with your idea
  • A defined trigger and result
  • Human review where it matters
  • A tested route when a step fails

Start with the task you keep doing twice.

An inquiry arrives, someone copies its details into a spreadsheet, and the owner writes the same follow-up again. That is a useful starting point for an automation brief. We map what arrives, who needs it, and what should happen next.

Some steps need ordinary rules. Others may benefit from AI, such as preparing a short summary from a longer message. We decide that from the task. A new model subscription is a cost to justify, and every automated action needs a defined reason to run.

See where the work goes.

A proposed intake workflow might follow the path below. It is a planning example; the tools and approval points are agreed for your business.

Example workflow A clear handoff at every stage
  1. 01Inquiry arrivesApproved form fields enter the workflow.
  2. 02Prepare the handoffRules route it; AI can draft a summary.
  3. 03You reviewThe owner checks the proposed response.
  4. 04Continue the workAn agreed next action follows approval.
  • Lead intake and routingCollect useful project details, sort requests by an agreed service or area, and notify the right person.
  • CRM handoffsPass approved fields to a compatible customer-management tool, with checks for missing information and duplicates.
  • Drafts for reviewPrepare a reply or internal brief from the supplied request and approved business information. You approve customer-facing copy.
  • Admin follow-throughCreate an internal task or reminder after a defined event. Sending campaigns, making purchases and changing customer records need their own agreed permissions.

Our inquiry system has a real delivery path.

Umanifest's guided website inquiry form saves a private lead record and sends an owner email notification. Both the stored record and inbox delivery were checked during setup. That gives an inquiry a destination beyond the visitor's email app.

This is a business automation example. Its existing delivery process does not use AI. An AI summary or proposed reply would be a separately scoped addition, with its own provider, data handling and review checks. You can begin with a dependable form and add more only when there is a clear job for it.

Work with the systems you actually have.

Bring the name of your form platform, CRM, email service and any tools the workflow needs to reach. We check available APIs or supported connectors, account permissions and plan restrictions before promising a connection. Some tools require a paid plan or a separate developer setup.

The brief records the trigger, permitted fields, destination and owner of each action. We also agree what should be saved, who can access it, and how long it is needed. Passwords and private customer records do not belong in an initial project inquiry.

Setup work is quoted separately from recurring provider subscriptions, AI usage and hosting. We discuss expected volume and who owns each account. For the public entry point, website design and SEO can support the inquiry path; an approved email marketing setup can follow when people have opted in.

Test the awkward cases before launch.

A useful test includes an incomplete submission, a repeated event, a disconnected account and an unavailable service. We check what the owner sees when a step fails and how to resume work without sending duplicate replies.

For AI steps, test requests include unclear wording and questions outside the approved information. The system needs a route to human review when it cannot answer. Launch scope includes the agreed checks and a handoff explaining how to pause the workflow. Changes to tools, business rules or model behavior can require later retesting.

Questions before we connect anything.

Can we automate just one part of the process?

Yes. A single intake or internal handoff is a sensible first scope. Share a recent example with private information removed so we can follow the actual steps.

Will AI send messages without my approval?

We agree on that permission explicitly. A draft-for-review setup keeps the send decision with you. Financial, medical and other consequential decisions stay with the appropriate person.

Can you work with businesses outside Tacoma?

Yes. Umanifest works online across the Pacific Northwest, with in-person conversations around Tacoma, University Place and Pierce County by arrangement.
